MYMS Newsletter – Summer Term 2018

Dear All Players and Parents [c.c. Staff and Committee]

1. Welcome back
Firstly, just to remind you all that we restart tomorrow on Friday 20 April 2018.

2. Tomorrow’s Rehearsals – Temporary Emergency Contact Number

I will miss the first part of tomorrow’s rehearsals as I shall be attending a funeral in Ipswich. Everything will run as smoothly as normal under the supervision of Elizabeth Rees [Chair of MYMS Committee] and Barbie Vaughan [our Librarian].

Barbie Vaughan will be the temporary emergency contact tomorrow – her mobile number is 07904-814835. Barbie will also be the 1st Aider tomorrow.

3. Good Luck to all Students taking Exams this term

We appreciate that a number of MYMS students will have examinations this term. Firstly, we want to wish them much success and lots of luck with your revision and the exams themselves.

We hope that you will all still be able to attend MYMS regularly each week. One of the great things about MYMS meeting on a Friday is that there are no exams the following day. Come and play and/or sing and enjoy the ‘downtime’ of being with friends and making really good music.

4. The Summer Term 2018

Just to alert you to the shortness of this term – there are just nine weeks. The concert date is Friday 22 June 2018. That means that we have SIX REHEARSALS before half term; one week off for half term; then TWO NORMAL REHEARSALS after half term, before the dress rehearsals and concert on 22 June. Please attend as regularly as you can.

Remember, there is no bandstand concert this year. Therefore, all the ensembles will perform in the one concert at Invicta GS.

5. Feedback about the Spring Concert 2018

Well done to everyone for a splendid concert: it was another big success.

6. MYMS Visit to Royal Albert Hall on Sunday 22 April 2018

60 students and adults will be travelling to the Royal Albert Hall on Sunday to see the Royal Philharmonic Concert Orchestra’s ‘Film Music Gala’.

7. Mayor of Maidstone’s Charity Concert – ‘Raising the Roof’ – on Sunday 13 May 2018

As you know, MYMS Voices will be performing at the Mayor’s Concert at All Saints Church on Sunday 13 May 2018. A detailed email with all the arrangements and the opportunity to purchase tickets will be circulated separately.

Lots of other musical groups from across the Maidstone area are taking part in the concert so it promises to be an exciting experience – and an opportunity for MYMS Voices to shine in front of a much wider public audience.

8. Stamps for RNIB

We are still collecting used postage stamps for RNIB. Please bring them in – there is a box for them next to the tuck shop or give them to Barbie, our Librarian.

9. MYMS Website

The concert begins at 7:30 p.m. on Friday 23 March. As usual, all parents [plus family and friends] are invited to attend. There are no tickets and no admission charge but there will again be a raffle on the way in and an opportunity to contribute a donation on the way out.

Before the Concert – depending on the timings of their dress rehearsal(s), players may need to have a packed tea. PLEASE ask them only to eat it in the canteen and NOT in one of the school classrooms or the Auditorium.

The vast majority of MYMS students are immaculately behaved in and out of rehearsals. We supervise them as closely as we can but we do have the occasional incident on concert days which risks upsetting our links with our host school. Will you PLEASE REMIND THEM that we are guests at Invicta each week and that they all need to conduct themselves appropriately all the time?

Players need to be back at Invicta in their green rooms in their concert dress at the latest by 7:15 p.m. They will be told which are their green rooms on the day.

We have decided NOT to have an interval in this concert. Please come in time to buy a drink beforehand, as well as your raffle tickets.

MYMS Raffle – Any donations of raffle prizes would be gratefully received. Please bring them with you on the day of the concert.

Men: black long-sleeved shirts – sleeves rolled down please, black trousers, socks and shoes, MYMS tie (£12 each – from Richard, MYMS Manager)

Ladies: black sleeved top and trousers, or skirt (knee-length or longer), or similar black dress with plain black tights and black shoes

[MYMS Voices – core choir singers can choose either of the types of concert dress]

Alpha Band and Orchestra for All

Men: white long-sleeved shirts – sleeves rolled down please, black trousers, socks and shoes, MYMS tie (£12 each)

Ladies: white sleeved top, black trousers or skirt (knee-length or longer), black tights and black shoes

Additional Notes: I have been asked by staff and the Committee that you make sure that all shoes are BLACK, that tights are not heavily patterned and that blouses for senior players are black and opaque, rather than see-through.

Student attendance at Rehearsals and Concerts – please help us to put on as good a concert as possible by maximising students’ attendance at the dress rehearsals and the concert

Help with Recruitment – please remember that MYMS pays a £10 ‘reward’ to any current member who introduces a brand new member to MYMS [once that new player has paid their subs]. This applies both to any new instrumentalists but also to friends of yours who sing but don’t play an instrument to join MYMS Voices.

Data Protection – you may be aware that the government are introducing the General Data Protection Regulation [GDPR] in May 2018. This is just to let you know that MYMS are reviewing their current handling and storage of personal data in the light of these changes and that I will provide a further briefing on this early next term.

MYMS Trip to Royal Albert Hall – RPO – Film Gala – Sunday 22 April 2018

Dear Parents and Players

MYMS is organising an exciting visit to the Royal Albert Hall on Sunday 22 April 2018 to see the Royal Philharmonic Concert Orchestra play in the matinee performance at 3:00 pm of their Film Music Gala. Please see the details of the concert and the music being played at the bottom of this email.

It will be a splendid concert and we have negotiated a discounted price, which makes it tremendous value.

Tickets for the trip are:
Students [or school-age siblings] – £15 per person, including coach and concert;
Parents – £20 per person, including coach and concert.
We have provisionally booked 102 seats at the Royal Albert Hall and two 51-seater coaches. *

Students can book places to go to the concert on their own – there will be a team of MYMS supervisors to chaperone them. Family groups are also encouraged if you want to make it a family day out.

Accurate timings will be confirmed nearer to the concert date. It is likely that we shall meet in Huntsman Lane [outside Invicta GS] at 12:00 noon and return at approximately 7:30 pm.

The application form – which includes the necessary boxes for consent and health information – is attached MYMS – Royal Albert Hall Trip 22 April 2018 – Consent & Health Form. Please complete an individual form for each student. Please note, each form has two pages to complete.

On this occasion, we would like payment to be made by cheque [payable to MYMS], rather than by electronic transfer. If that poses a problem, payment can be made by cash – please hand any cash payments to me personally. Envelopes can either be handed in at MYMS or posted to my home at Richard Gretton, 16 Sycamore Crescent, Allington, Maidstone, ME16 0AG.

Tickets will be allocated on a first-come-first-served basis.

Deadline date: the final deadline is the Friday after half term [Friday 23 February 2018]. Of course, applications can be posted to my home address during half term.

[* Note: Ideally, the whole party will travel on the two coaches but special arrangements can be made for family groups to purchase just concert tickets if they wish to travel separately to the Royal Albert Hall.]

The concert is being presented by Tommy Pearson, who used to play at MYMS. I’m sure that he will give us a mention at some stage in the concert when he knows there is a large party from MYMS in the audience…..

MYMS Newsletter – October 2017

Dear Parents and Players

It is time for a further Newsletter. The topics included are:

1. This Friday – 6 October – we are OPEN
Invicta Grammar School has a staff development day this coming Friday. MYMS will still be open as usual and, in addition to students from every other school, we hope that as many Invicta students as possible will still be able to join us.

2. Maidstone Music Festival [MMF] 2017
A number of students from MYMS already take part in the Maidstone Music Festival, which is held in November each year at Invicta GS. This year, it will be held on Saturday 25 November and Sunday 26 November 2017.

MMF is an adjudicative music festival, open to amateur performers of all ages and levels of ability. You can download the MMF brochure from their website.

The reason I mention MMF this week is that deadline for entries is fast approaching – they close on next Monday 9 October 2017.

3. Maidstone Young Musician 2018
I have recently been informed that the Maidstone Young Musician competition in 2018 is being organised differently. The only gateway to entering the competition is via the Maidstone Music Festival [MMF] – see above.

I am attaching a file entitled ‘Essential Information for Young Persons wishing to enter Maidstone Young Musician 2018’- mmf17 information for persons wishing to enter MYM – 2 (1)

If your son or daughter is interested in tasking part, please download the attachment and contact either Brian Frost or Robert Greenham [their contact details are in the attachment]. Please note that the deadline is linked to the MMF cut-off date of next Monday 9 October 2017.

4. MYMS Membership Forms
MYMS takes its safeguarding responsibilities very seriously. We are effectively in loco parentis for over 150 students each Friday. It is therefore essential that I have all the relevant contact information and permission slips completed.

I need to have the most up-to-date information on file for your child, including the latest medical data, so I am afraid you have to complete one of these each year.

I am reattaching the paperwork here – MYMS Membership Forms – September 2017 – (1). Please download, complete and return to me at MYMS as soon as possible, preferably by 13 October 2017, just before our half term break.

5. MYMS Subscriptions for 2017-2018
These are now due and it will help our cashflow and forward planning if they could be paid at your earliest convenience. The Committee has extended the deadline date this year to 30 November 2017 but it helps us greatly if you pay them promptly.

MYMS Subscriptions – Parents agreed at the Second General Meeting in June that Membership Fees should be raised as follows: they are now £145 for individual membership if paid by 30 November 2017 – £165 if paid after that date and £245 for family membership [two or more children from the same family] – this will rise to £275 after 30.11.17.

If you are likely to have any difficulty paying the membership fee by the appropriate date, please contact me in confidence [on 07802-425022] and we can discuss alternative arrangements, which could include termly payments. You may not be aware that MYMS has its own bursary scheme, which could provide financial assistance with subs. If this would help, just ask…. Our priority is to have as many young people as possible making music each week and we don’t want finance to be a barrier when there are ways to help.

Payment of Subs – Electronically – Again, this year, we are able to offer parents the facility of paying the MYMS subscriptions by electronic bank transfer. If you wish to pay this way, the details you need are:

Reference: Please remember to add your child’s name in the reference box, especially if the child’s surname differs from yours.

By cheque – Alternatively, fees may be paid by cheque [payable to MYMS] and handed in – in an envelope addressed to Richard Gretton, MYMS Manager – on Friday evenings. Please write the student’s name and MYMS ensemble on the back of the cheque and send it in with the reply slip attached to this letter [see Membership paperwork]. An updated Gift Aid form is attached: if you are willing to complete this [and you are a current taxpayer], please print it off and return it with the subs and application/membership forms, as this benefits MYMS substantially.

6. Reminder about dates
As the school is closed for two weeks at half term, MYMS will be closed on:
Friday 20 October and Friday 27 October 2017

Our Winter Concert is on Friday 1 December 2017 at 7:30 pm in the Hall at IGS [plus MYMS AGM beforehand]. We are then closed for the remainder of December 2017 and also on 5 January 2018. 7. Instruments for Sale
I have been contacted by parents and the following instruments are for sale:

Welcome to the new term and new MYMS year

Welcome back to everyone and a particularly warm welcome to all our new players and their parents.

As usual, there is a great deal of information here – please persevere to the end….

MYMS Voices – Please remember that EVERYONE – literally EVERY player at MYMS – is invited to join the massed MYMS Voices when they rehearse in the Auditorium at 4:15. If you are already an instrumentalist at MYMS, it doesn’t cost any more to join the choir for that initial half-hour. This is great fun with Ciara….
We particularly would like more young men to join MYMS Voices.

Weekly Arrangements – Students should be in their seats ready to play at the above times, and are expected to help set up beforehand and to help clear away stands, music and instruments as appropriate at the end of rehearsals and put the rooms back to how they looked beforehand. It is expected that players will attend all rehearsals and concerts and any planned absence should be notified to the conductor and/or the MYMS Manager well in advance so that rehearsal time can be planned effectively. In case of illness, messages or texts may be left on the MYMS Manager’s mobile (07802-425022) and students may be contacted via Richard, the MYMS Manager, on this number during Friday rehearsals. Students are NOT permitted to use mobile phones during rehearsals.

Rehearsals are held each Friday during the school term, but there will be no rehearsals on the following Fridays in the Autumn Term 2017:

Winter Concert Friday 1 December 2017 at 7:30 pm in the Hall at IGS [plus MYMS AGM beforehand]

Spring Concert Friday 23 March 2018 at 7:30 pm in the Hall at IGS

Summer Concert Friday 22 June 2018 – at 7:30 pm at IGS, including 2nd General Meeting.

The Tuck Shop will be open each week from 4:00 pm to 4:40 pm and from 5:45 pm to 6:30 pm. We already have one or two very helpful volunteers but, if any other parents were willing to help supervise this activity, especially between 5:45 and 6:30 pm, we could share out the responsibilities. Please contact Richard, the MYMS Manager, if you are able to help.

MYMS Committee – The Committee does an enormous amount of work behind the scenes. We are always looking for new members. Anyone interested is invited to speak to me or to Elizabeth Rees [Chair].

MYMS Subscriptions – Parents agreed at the Second General Meeting in June that Membership Fees should be raised as follows: they are now £145 for individual membership if paid by 30 November 2017 – £165 if paid after that date and £245 for family membership [two or more children from the same family] – this will rise to £275 after 30.11.17.

If you are likely to have any difficulty paying the membership fee by the appropriate date, please contact me in confidence [on 07802-425022] and we can discuss alternative arrangements, which could include termly payments. You may not be aware that MYMS has its own bursary scheme, which could provide financial assistance with subs. If this would help, just ask…. Our priority is to have as many young people as possible making music each week and we don’t want finance to be a barrier when there are ways to help.

Payment of Subs – Electronically – Again, this year, we are able to offer parents the facility of paying the MYMS subscriptions by electronic bank transfer. If you wish to pay this way, the details you need are:
Sort Code: 08-92-99 Account Number: 65370937 Reference: Please remember to add your child’s name in the reference box, especially if the child’s surname differs from yours.

By cheque – Alternatively, fees may be paid by cheque [payable to MYMS] and handed in – in an envelope addressed to Richard Gretton, MYMS Manager – on Friday evenings or by post to the above address. Please write the student’s name and MYMS ensemble on the back of the cheque and send it in with the reply slip attached to this letter. An updated Gift Aid form is attached: if you are willing to complete this [and you are a current taxpayer], please print it off and return it with the subs and application/membership forms, as this benefits MYMS substantially.

Membership Information – Each year, we need up-to-date contact information and permission slips. This is because there may be changes in students’ health and medication, address, contact telephone numbers, school, instrumental teacher(s) or grades. Please print off and complete the attached application forms to ensure that we have all the current details. MYMS Membership Forms – September 2017 – (1)

Please return them ASAP [please note – these are individual forms so I need one for each child in a family], together with your subs and Gift Aid form.

Recruitment – MYMS will again be paying £10 to any current member who brings a new member along. This is paid once the new member pays their own subs. Again, the relevant form is attached with two spaces to fill in. Please encourage your friends to join MYMS….

IMPORTANT – Child Protection – Being collected from MYMS – please impress on your child, especially the younger ones, that – if the person who normally picks them up from MYMS doesn’t come at the usual time – they should come back into the canteen area and inform me. I have all the necessary contact numbers with me each week and can sort out any problems.

IMPORTANT – Fire Evacuation Procedure
The details for students and visitors are included in this briefing email. Their conductors will go through the procedure with them but can you please ensure that your son or daughter knows what they need to do and sign the appropriate part of the attached paperwork?

EVERYONE
· The normal fire alarm signal is a high-pitched ‘whoop’ [although the instruction for a fire drill may be given verbally over the tannoy].

· Take personal bags that are with you [DO NOT go back to the canteen to collect anything]

o Do not wait to pack your bag; take it as it is

o If you have a mobile, take it with you

o Do not take your instrument or your instrument case

· Do not visit any other parts of the building

STUDENTS
· Students should leave the school building by the nearest fire exit and go IN SILENCE to the school’s all-weather pitch near the bottom car park – no running please

· Ensembles should line up on the all-weather pitch and stand there in silence apart from answering their name on the register

· Please do this in the following order:

o Orchestra for All

o Alpha Band

o Youth Strings

o MYMS Voices

o MYWO

o [Nearer to Valley Park School]

· If only the Maidstone Youth Orchestra is on-site, they will be the only ones lining up.

· If a music tutor is absent, the first student on the register should report this fact to the MYMS Manager.

· DO NOT RE-ENTER THE BUILDINGS WITHOUT PERMISSION

· In the event of a bomb scare, further evacuation will be necessary to a minimum distance of 200 metres from the building; i.e. to Valley Park School, East Borough School or to Vinters Park.

PARENTS OR VISITORS
· Any parents or adult visitors on-site should also leave the school building by the nearest fire exit and go to the school’s all-weather pitch near the bottom car park – take your mobile with you, if it is near at hand.
